Setting up an office party is a great way to boost productivity and to work on some team-building. Morale will be higher, people will be happier and they will become more loyal to you and to your company.

Furthermore, it can help you network and mingle with other departments and potential clients, and can facilitate the sharing of ideas and projects. However, you need to do it right.

Setting up an awkward office party will make you look like a joke. People will take you less seriously, and it will just end up as a forced meeting with glitter and food. It needs to be natural, it needs to flow nicely and it needs to be set up properly.

What do you want to achieve?

This is the first thing you need to think about – what is it that you want to achieve with this office party? This is important because the whole conception and style of the party will change accordingly.

For example, if this is an event for small teams from niche departments, then you can afford to be much more casual than you would with an event where all the corporate higher-ups are there.

Also, do you want to just network, or are you actually focused on some team building and getting your employees closer? You need to take all this into account if you want it to go according to plan.

Budget

This one may be a bit obvious, but you’d be surprised how often people forget about budgeting. This event is for fun, sure, but it’s also an investment in bettering your company and increasing your competitiveness – you need to treat it like an investment accordingly.

When you decide what you want to do and how it’s going to look, you need to put everything on paper and have a conversation with an accountant.

You can also place a donation box at the party. Also, if you’re planning an actual event for multiple visitors from other companies, then you can set up an admission ticket. However, if it’s an office party, don’t do that – it will just make you look cheap.

Location, location, location

Location is much more important than you think. Unless you have a dedicated conference hall or auditorium, don’t throw the party inside the actual office. It doesn’t matter if people really enjoy their work, they will still associate the area with their jobs and it will make it harder for them to relax.

It’s best if you can organize it someplace exotic or fun. Now, as we’ve said, you need to decide how formal this is going to be – the difference between a specialized conference hotel or a local bar. However, if it’s just a small office party, any kind of location that specializes in team building will be a good choice.

Leave no man behind

This is very important if you want to make a real connection with your employees. You need to meet and talk with everybody – don’t let anybody feel left out.

This is extra important for employees who are new to the team.  Now, don’t be pushy – just walk up to them, relax, make them feel welcome, and you’re going to be good as gold. Just remember – don’t be patronizing, you are their superior, and they won’t forget it.

Have proper refreshments ready

Don’t forget to feed your guests. While you don’t need to prepare a four-course meal with champagne and brandy, having some nice canapés and finger food is required. If the party is casual and is being held outside, you can go with a kombi hire or any other service that can offer you food and fun.

Network For Other People

If you really want the party to be a success, you should be a proper host and introduce people to each other. Essentially, you should facilitate interaction and conversation between departments or employees.

Not only will you make an excellent impression to the people you don’t know, but you will, in a very subtle way, increase the productivity and motivation of the company.

If just 10 percent of people hit it off, you will definitely see some ideas being thrown around and exchanged, as well as just any inter-department tasks being performed much more smoothly.

So this was our quick guide to setting up a good office party. It may seem like a daunting task at first, but trust us, if you just stay genuine and honest, you will definitely see everyone having a ball. Remember to stay organized and to focus on the most important aspect – having a good time.
